BAE Systems Applied Intelligence is seeking a Site Operations Coordinator, to join the Leeds Office, as an integrated component of the Site Operations Team.
As the Coordinator, you will ensure that the operations of your designated location are effective and efficient, making sure that the provision of daily services and excellent standards are maintained at the highest level. You will also be responsible for overseeing that the company security, SHE, business continuity and facility regime, relating to the site, are delivered. 
 
The Key Accountabilities of the Site Operations Coordinator:
•         Liaising with internal and external customers, contractors, suppliers, insurance assessors and auditors, as appropriate, to ensure that the provision of services meets and exceeds agreed SLAs and customer expectations, through value and innovation.
•         Responsible for the satisfactory operational delivery of maintenance, cleaning, catering and utilities, ensuring services are delivered in accordance with agreed contracts and compliant to legislation. In addition to the service delivery management responsibility of post room, catering, cleaning, emergency procedures and equipment.
•         Responsible for a high quality service delivery, through performance auditing and process development. Ensuring delivery and KPI targets are met or exceeded.
•         Responsible for ensuring statutory inspections, as well as planned and routine maintenance activities are carried out in accordance with legislative / contractual requirements.
•         Ensure the effective planning, operational, financial and contract administration procedures lead to the provision of high quality, cost effective office services. Responsible for reviewing and maintaining the facilities management processes and procedures, to work in conjunction with the Site Operations Leadership Team.  
•         To set and maintain standards of Front of House Reception areas, ensuring a positive visitor experience, as first point of contact with the company.
•         Service delivery and contract management including supplier; consultants, contractors, landlords, site engineering resources and sub-contracted services.
•         Assist with planning / relocation of staff where required, manage as appropriate any refurbishment projects and ensure completion at close of project.
•         Act as the safety, health, and environment representative for the local office and also a Member of Health & Safety Committee - local office H&S representative.
•         To operate as part of an integrated GIG team, that includes facilities, SHE and security to ensure that the services are delivered in an efficient and coordinated manner.
•         Responsible for the day to day management of sub-contractors.
•         Assisting with the development of relationships with key preferred facilities suppliers and partners.
•         Support as required the ISO 14001 and ISO 18001 certification process and objectives for the site.
•         Planning, supervision and co-ordination of all minor and major accommodation moves. Coordinating removals, contractors, materials, IT, telephones, teams and individuals, as necessary
•         Assist with the preparation of purchase orders relating to facilities / SHE and travel and maintaining accurate records of the same.
 
Skills and Experience:
•         Facilities management experience.
•         Experience of physical security integrated management systems: electronic access control systems; intruder detection systems; closed circuit television.
•         Able to work on his/her own initiative and as part of a team.
•         Excellent interpersonal skills.
•         Good organisation and communication skills.
•         Excellent people management / team development skills.
•         Good working knowledge of Microsoft Office software packages.
•         Project Management experience (desirable
