Despatch Operator

The successful candidate can expect to be:
Responsible for packing and despatching goods to customers to target, management of the Finished Goods Store and Packing materials Ordering / Stock levels. Cycle Counts and Stock Takes both annually, quarterly along with weekly sanity checks. You would be working withing a team of 2 employees.
Key Responsibilities:
  • Liaise with final Inspection for parts coming through to Despatch.
  • Liaise with the production Supervisors of all areas to ensure you know what past are being despatched and when.
  • Liaise with the production planners to make sure the customer portals are up to date and parts are in shipping ready to be despatched.
  • Ensure all parts are bagged and tagged with bag labels and that the serial numbers on the units match the serial numbers on the bags.
  • Check the live sales order reports and ERP system (IMS) to see what parts are due to ship and whether we have stock in FG or coming through Final inspection to be despatched.
  • Check the customer's portal to ensure the parts to be shipped are cleared and in shipping if required.
  • Book in the works orders to finished goods ensuring you have the correct qty of units as detailed on the route card.
  • Raise the delivery notes against the live sales orders and ensure the serial numbers are logged on the delivery note and that they match that of the route card.
  • Ensure any parts not being shipped are booked into a location within the Finished Good Store and make sure they are physically taken to that location.
  • Liaise with a Member of the QA team to ensure the C off C is signed off.
  • Pack all parts in appropriate packing or in its own individual packing materials.
  • Using the couriers on line software Book couriers to collect the goods and raise any paperwork associated with this process.
  • Ensure all parts if required are despatched through the customer's portal and print any paperwork or labels associated with this process.
  • Ensure all boxes ready for shipping are made available to the couriers for collection at the times of collection.
  • Run the end of day manifest for each Courier ensuring that it is signed on collection and archived correctly.
  • Provide tracking information on request and liaise with the Couriers and Customers import and export teams where required to do so and assist on failed shipments stuck in the system.
  • Liaise with the Couriers where required to assist on failed shipments.
  • Collate all production paperwork and despatch notes ready for Scanning and archiving.
  • Perform Cycle counts on a weekly basis as instructed.
  • Perform Stock Takes on an annual basis as Instructed.
  • Ensure good Housekeeping at all time and that the despatch office and Finished Goods store are kept neat and tidy at all times.
  • Liaise with the purchasing team and the supplier to ensure we have adequate Packing materials on site at all time and that they are stored in an appropriate manor.
  • Ensure every effort is made to ship all parts which need to go that day and that you communicate quickly and effectively with the product owner and or sales if there are any issues which will delay the shipment.
  • Ensure that all other non-production parts including Repairs, Engineering parts, Purchasing TP cards and Picking Listed are shipped as required and instructed.
What you need to succeed?
Essential Criteria:
  • Educated to either GCSE or equivalent in Mathematics and English
  • Microsoft Office to include Office, Word and Excel
Desirable Criteria:
  • Previous experience of working within another Despatch environment
  • Understanding of ISO9001 and AS9100D standards
  • Conform to 6S
  • Worked in a quality assurance environment and ensuring the correct documentation is completed
