As a Legal and Governance Assistant, a typical day might include:
- Being primary point of contact for anyone asking if they can buy some land from Acis. You will own that process and ensure that we have all the necessary information to be able to make an informed decision as to whether or not Acis will sell the land.
- Helping with Right to Buy/Acquire matters and Shared Ownership matters, assisting the team with the administration of those matters.
- Providing assistance to the team on some of our routine legal cases, but we will provide you with any necessary training beforehand.
- Responsible for updating our systems and notifying our colleagues, about any changes in property ownership and updating our Insurers on a quarterly basis.
- Ensuring that all spend by the Legal and Governance at the Land Registry is accounted for, and documented for our Finance colleagues.
- You will be our primary point of contact with our Insurers for any insurance claims (both property and personal) and you will liaise with our insurers and collate any evidence or documentation that they require in order to deal with the claim.
- You will also be responsible for liaising with our insurers about any questions that we might have, or for putting them on notice regarding any potential claims that might be made against Acis.
- Keeping our Signing and Sealing Registers in order, and up to date, ensuring that all documents signed or sealed on behalf of any company in the Acis group are correctly entered into the appropriate register. You will also ensure that those documents are properly executed, and you will be the one who facilitates that, liaising with our Board, Executive Leadership Team and Company Secretary as appropriate.
- As our team are also responsible for maintaining the statutory company registers, you will help to ensure that all those statutory company registers are kept up to date.
- You will have meticulous planning abilities and will ensure that all of our Board and Committee meetings are scheduled up to two years in advance. You will also ensure that all the relevant invites have been sent out and that if the meeting is to be conducted in person, that meeting rooms have been booked.
- Ensuring that in person our board meetings are properly prepared for by making sure that parking spaces for the board have been reserved and that any necessary refreshments have been ordered, collected and set out.
- Our team are the ones who ensure that any Councillor or MP enquiries, or complaints that come into our Executive Leadership Team, are dealt with and you are the one who owns this process, keeping us on our toes and ensuring that responses are done within deadlines.
- Those meticulous organisational skills will also be utilised by keeping the Executive Leadership Team's and Head of Legal and Governance's credit card spend appropriately accounted for through our banking portal.
- You are also an integral part of ensuring that our colleagues have the necessary stationery, and office refreshments available (within guidelines) and you will own the ordering, accounting for and payment of the same.
- We have an extensive list of Strategies and Policies that need to be updated within a three year cycle and you are the gatekeeper of this, ensuring that the authors are aware that their policy or strategy is due to be reviewed, where that policy or strategy will be reviewed and approved and making sure that it is all done within the timeframes.
- You will also ensure that all our critical dates are on the relevant owner's radar, and that those necessary returns have been done on time.
- You are basically the glue that keeps our Legal and Governance team together!
The must haves:
- A great standard of education, with at least 5 GCSEs at grades A-C (or equivalent) with one being in English.
- Excellent typing skills.
- Fabulous communication skills.
- You're happiest when you are working within a team environment as we all support each other but equally you will be able to work on your own without supervision.
- You must know how to keep the information that you hear from working in your role confidential.
- You can prioritise your workload effectively, despite ever changing deadlines and goals.
- Have a great eye for detail.
- A clean driving licence as you will have to travel to get documents signed by our authorised signatories.
What will make you stand out from the crowd:
- A qualification in typing would be amazing
- ECDL or similar for all our computing needs.
- You've experience of working within a legal environment, and have gained some useful experience in conveyancing, disrepair or other relevant legal knowledge.
- You can find solutions in creative ways, to a wide range of issues is one of your strengths.
- You have worked within the housing sector before.
- You know a bit about Data Protection and what should and should not be done.
- You'll be adept at change.
